Full Job Description

1.a. Manage volunteer records, enquiries and analyse volunteer data using WWT's Customer Relationship Management software as required.

2.b. Support the implementation of the Trust's Health & Safety procedures for volunteering, by filing and recording all relevant documentation for volunteers.

3.c. Ensure that annual checks are completed

and areas of identified need are acted upon.

4.d. Manage and monitor a database of training records and schedule and organise training courses for volunteers.

5.e. Assist with the development of a wide-ranging training programme for Volunteers.

6.f. Set up and organise volunteer meetings and training events, identifying dates for participants, securing venues, refreshments, travel etc as required.

7.g. Support the collection of data to evidence delivery against contracts and agreements with third parties i.e. Local Authorities, grant funders, stakeholders, and partner organisations.

8.h. Develop systems to create efficiency within teams of operational staff relating to the management, booking, and servicing of tools, resources, vehicles and equipment.

2. Volunteer recruitment

2.a. Support excellent communications by acting as first point of contact dealing with internal and external queries and correspondence from volunteers or about volunteering in a timely manner and ensuring a high level of customer service and continuity via telephone or email.

2.b. Recruit new volunteers across all areas of the Trust's work, ensuring that all the necessary documentation is completed and conduct recruitment and induction meetings.

2.c. Assist Trust teams to creatively develop their volunteering roles.

2.d. Place volunteer adverts in publications and online and promote volunteering at internal and external events.

2.e. Handle and escalate complaints or issues in a professional and prompt manner.

2.f. Work across teams to ensure that all volunteers are inducted and trained appropriately.

3. General responsibilities

3.a. Promote the work, mission and vision of the Trust at all appropriate times.

3.b. Use every opportunity commensurate with other duties to contribute to the Trust's membership recruitment, fundraising and engagement of people.

3.c. Ensure a high level of customer service in all dealings with the public.

3.d. Ensure continuous development of skills and knowledge required for the post, undergoing training and performance review as required by the Trust.

3.e. Work within all the policies and procedures of the Trust, ensuring own compliance with the Trust's health and safety policies and procedures and that of any resources for which you are responsible.

3.g. Comply with all legal and contractual obligations concerning the responsibilities of your post.

3.h. Assist in the preparation of annual budgets, work programmes and reporting requirements for your area of work.

3.i. Supervise and support volunteers as appropriate to your role.

3.j. Carry out any other reasonable duties commensurate with the level of responsibility of the post, as requested by the Chief Executive.

This role may involve work with at-risk adults so a Basic DBS check will be required.

Band Grade 2a (£19,838 - £27,473) dependent on experience pro rata, Appointment: All our offers of employment are made, subject to some pre-employment checks including: Satisfactory References, checks on eligibility to work in the United Kingdom, Checks on relevant certificates.

Salary : Your salary will be based on your skills, knowledge and experience. You will be paid monthly in arrears by credit transfer to a bank or building society account.

Hours of Work: Our employees work a 35-hour week (full time). In view of Warwickshire Wildlife Trust's work, employees can be called upon from time to time to work a reasonable period outside of the set hours. No overtime will be payable but a flexi time policy and TOIL is in place.

Holiday Entitlement: Our holiday year runs from January to December. Full time employees get 25 days holiday per year plus bank holidays. For permanent members of staff this increases to 27 days after 2 years and 28 days after 5. General information 11

Pension: You will be automatically enrolled in the Warwickshire Wildlife Trust Stakeholder Pension Scheme if you meet the eligibility criteria, though you may opt out. The employee contributes 4.5% of salary and the Trust as the employer contributes a further 6% to the scheme.

Notice: If you choose to leave the Trust you will be required to give one months' notice.
