Full Job Description

Velindre University NHS Trust (VUNHST) is going through an exciting period of change and development to support delivery of our vision and strategic objectives. This exciting opportunity has arisen for experienced dynamic individuals to join VUNHST as an Estates Administrational Assistant Band 3.

The post offers an excellent opportunity for an individual who is looking to work with an operational estates team to support maintenance of critical healthcare buildings to help the Trust achieve its vision of service provision improvement.

You will be expected to work closely with a wide range of staff from different disciplines including contractors, managers and clinical staff to deliver a high level service that supports a high standard of patient care.,

  • Provide a customer focused receptionist service, welcoming and receiving visitors and contractors and dealing with enquires.

  • Provide a customer focused Helpdesk service receiving incoming calls via e-mail or telephone, raising appropriate job cards, liaising with members of the estates/operations team, contacting contractors when required, and assisting in the collation of information and closing of job cards.

  • Provide full and effective administrative assistance to the Estates Manger and Estates Department, to ensure comprehensive support in execution of their duties, consisting of but not restricted to; taking minutes of meetings, organising meetings, typing of reports, updating spreadsheets and databases etc.

  • Receive telephone calls, personal callers and deal with where possible. Ensure messages are correctly transcribed and relayed in a timely manner.

  • To respond to requests or queries appropriately, with advice and information, both verbally and written, in an accurate and timely manner, involving others where necessary.

  • To occasionally receive telephone complaints from service users, using empathetic communication skills to appropriately obtain relevant information and efficiency to ensure details are passed to the appropriate persons within Velindre Cancer Centre.

  • Produce presentation materials, spreadsheets and graphs as directed and to agreed timescales.

    The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
